Workup Limited respects your privacy and is committed to protecting your personal information in accordance with the Privacy Act 2020.

This Privacy Statement explains what information we collect when you complete a workin career assessment, why we collect it, and how we use it.

Information We Collect

When you complete an assessment, we may collect:

• Your assessment responses.
• Your assessment results and recommendations.
• Your email address and/or social media handle if you choose to receive your results or access them later.
• Technical information required to operate, secure, and improve our services.

How We Use Your Information

We use information collected through the assessment to:

• Generate and provide your assessment results.
• Allow you to access your results after completing an assessment.
• Improve the accuracy and effectiveness of our assessments and recommendations.
• Understand aggregated career interests, pathway preferences, and workforce trends.
• Maintain, secure, and improve our services.

We use your contact details solely to deliver your assessment results and allow you to access them later, unless you separately choose to receive additional communications from us.

Improving Our Assessments

Workup may use assessment responses, results, and outcomes in aggregated or de-identified form to improve our assessment models, recommendations, products, and workforce insights.

This means information from assessments may help improve future recommendations for other users. Where practical, this analysis is conducted using information that does not directly identify individuals.

Marketing Communications

We will not send you marketing communications unless you choose to receive them.

If you opt in to receive updates, you can unsubscribe at any time using the unsubscribe link provided in our communications or by contacting us directly.

Sharing Information

We may use trusted third-party service providers to help operate our platform, store data, deliver assessment results, or provide related services. These providers are required to protect information appropriately and only use it for authorised purposes.

We may disclose information where required by law.

Employer team reference groups (workin.pro). Some employers invite their teams to take Career Match and Crew Match through workin.pro. If you take part through an employer invitation, your results always come to you. On the first screen you choose whether that employer can see your results by name as part of its team reference group. If you say yes, the named employer can see your Career Match and Crew Match results, your role and how long you have been in the trade; it never sees your email, your answers about how much you enjoy your current work, your age or your gender, other than as counts across the group. You can withdraw that permission at any time from your results page, and the employer's view drops you the next time it opens. Saying no changes nothing else: you still get your results, and you can still choose separately whether your anonymised answers help build better role benchmarks. An employer never enters your gender, age or ethnicity; those are only ever self-reported by you, and optional.

Storage and Security

We take reasonable steps to protect information from unauthorised access, loss, misuse, disclosure, or alteration.

Information may be stored or processed by trusted service providers located in New Zealand or overseas. Our database is currently hosted in Sydney, Australia.

Your results link. When you save your Career Match results, we email you a private link that opens them again without a password. Anyone who has that link can see your results, including the roles you have liked, so treat it like a password and do not forward the email. The link never shows your email address, your answers about your current job, or your age. You can delete it at any time from your results page (“Delete my saved results”), after which the link stops working.

Access and Correction

You have the right to request access to personal information we hold about you and to request correction of that information.

Schools and Students

Some secondary schools invite their Year 11 to 13 students to take Career Match through workin.pro, as part of the school's careers or Gateway programme. This section covers those students. It applies alongside the rest of this statement.

How it starts. The school's careers staff choose to run Career Match as part of their careers programme, the same way they choose any careers tool, and workin records which staff member switched invitations on. Taking part is each student's choice. A student who ignores the invitation, or uses the “Stop these emails” link in it, hears nothing more from workin. The school sees only that they have not taken part.

What we collect. The school gives us the student's name, school email address and year group so we can send the invitation. The student gives us their Career Match answers and an age range. We do not ask for a date of birth or gender.

What it is used for. To produce the student's own results, and to give the school's careers staff a picture of what their students are drawn to. Students invited by a school take Career Match only. They are not asked to contribute to workin's role benchmarks, their answers are not used for them, and they are not sent marketing.

Who sees what. A student's results always go to the student. On the first screen each student chooses whether their school's careers staff can see their results by name, and they can change that at any time from their results page.

• If the student says yes, careers staff see their name, year group, interest profile and the roles and industries they align with.
• If the student says no, the school sees that they have finished and nothing else. Their results are left out of the school's group figures too.
• Group figures only appear once five or more students are in them.
• The school never sees a student's age range or quiz answers.
• The averaged results of students who said yes also feed anonymous comparison groups that other schools on workin can see. Those groups are shown only at five or more students, never name a student, and never rank schools.

Keeping your results, if you are 16 or over. A student aged 16 or over can choose to keep their results by giving a personal email address and confirming their age. Their profile then belongs to them. It is used only to show them their matches and to shape the careers we show them. The school's own record of them is still deleted at the end of the school year, and after that the school cannot see the profile. They can delete it at any time from their results page. Students under 16 are not offered this, and their results are deleted at the end of the school year.

Deleting sooner. Any student, or their parent or guardian, can ask us to delete their information at any time by emailing privacy@workin.co.nz. Questions about the school's own consent process are best put to the school.

Young People

The workin Career Match itself can be completed without providing any contact information. You only need permission before entering an email address or social media handle.
